Passport / Foreign Entry Requirements

A valid passport book (not a passport card) is required for international air travel. Proper documentation, visa travel requirements, and ensuring passport validity are the responsibility of the Client.

The Client is to provide all names precisely as they appear on the government-issued passports that will be used for travel. Travelers may be denied boarding at departure or entry at arrival if their name(s) are not the same on their travel reservation as their passport.

Payment Schedule

A deposit of $300.00 is required at the time of booking to secure your spot on a tour. Any payments made to BWP Travel constitute your acceptance of the terms and conditions set up herein.

Any remaining balance will be due in full 90 days prior to departure. Additional payments can be made at your discretion. There is an autopay feature that you can activate if you choose.

Cancellation Policy:

Cancellation requests must be made via email. There is a cooling-off period of 48 hours after your purchase to refund your trip. Refunds processed during the cooling-off period are subject to a processing fee of 4%.

Cancellation Penalty Schedule:

91 days and over – Loss of the deposit payment amount

90 to 60 days – 50% of Tour Cost

59 to 30 days – 75% of Tour Cost

30 days and less – 100% of Tour Cost

Voluntary Changes

As a courtesy, bookings can be moved to different group departure or changed from a group tour booking to a private tour if the booking is outside of 90 days from the trip’s departure date. Within 90-60 days of departure, the deposit amount is forfeited, but any additional monies paid can be used as a credit towards a different trip to be booked through BWP Travel, LLC.

If you have booked with a travel companion(s), if the number of individuals occupying a room changes due to a cancellation or booking change, the remaining traveler(s) will be responsible for any additional costs incurred due to a change in the per-person occupancy rate. 

Involuntary Itinerary Changes

BWP Travel reserves the right to modify the tour program’s itinerary, including confirmed sightseeing, and substitute accommodations, including trains and aircraft, at any time due to unforeseen circumstances or circumstances beyond BWP Travel’s control. Efforts are made to operate all tours as planned, but changes may occur after the tour program has been purchased or after travel has commenced.

Room Share/Roommate Matching:

BWP Travel will attempt to find a room share partner for any traveler who requests this service. If 90 days before departure, we have been unable to match the Client to a roommate to share the room, the Client will be required to pay the single supplement.

Mandatory Travel Insurance:

BWP Travel requires proof of Medical Travel Protection to travel. Proof of coverage is required at least 45 days prior to your trip’s departure date. Failure to provide proof of coverage may result in the reservation being canceled without a refund. Travel Protection plans acquired by Clients are required to include the following coverages:

(A) Trip Cancellation

(B) Trip Interruption

(C) Trip Delay

(D) Emergency Medical & Dental Expense

(E) Emergency Medical Evacuation & Repatriation

BWP Travel is not an insurance company and has no responsibility for the submission, payment, or adjustment of any insurance claims. Any insurance claims that may fall under the relevant travel insurance policy must be submitted to the insurance company identified in the policy.

Covid-19 / Travel Immunizations & Vaccinations

As the worldwide COVID-19 coronavirus pandemic remains ongoing at this time, and other reasons not reasonably foreseeable at this time, these travel plans may be interrupted or canceled by the supplier that is providing them, a government entity or other third party over which BWP Travel has no control.

It is the Client’s ultimate responsibility to confirm and verify that they are in possession of all required documents, vaccinations, immunizations and Covid test results necessary to comply with the requirements of the respective destination for admission and accept liability of denied boarding/entry if they fail to comply with these requirements. The terms of the travel insurance policy will dictate whether and to what extent coverage for any financial loss may exist under the circumstances.

Force Majeure

Client and all persons in the client’s traveling party hereby release and discharge BWP Travel and BWP Travel’s agents, employees, officers, directors, shareholders, and independent contractors (the “Releasees”), from and against any and all liability arising from my participation in the excursion, including third-party negligence, Acts of God, force majeure, epidemic, pandemic, and the undersigned client and all persons in the client’s traveling party agree that this release will be legally binding upon them and their heirs, successors, assigns, and legal representatives. It is the client’s intention to fully assume all travel risks and release the Releasees from any and all liabilities to the maximum permitted by law.

By offering travel for sale to particular destinations, excursions, tours, and activities, BWP Travel does not represent or warrant that travel to such destinations is advisable or without risk. BWP Travel shall not be liable for costs, damages, inquiries, or losses that may result from any excursion, tour, or other activity.  Participation by the client and a client’s traveling party constitutes acceptance of such events at each traveler’s own risk.

Physical Requirements

A minimum fitness level is required to enjoy our tour itineraries as intended. Clients must agree to advise BWP Travel prior to deposit payment if they have any physical or other disability that would prevent them from participating in an active tour program or which could cause harm to themselves or other participants in the travel group. The suppliers of certain activities on tour may require a minimum age or minimum/maximum height or weight to participate.

Hotel Check-In / Room Upgrades / Occupancy Changes

Hotel check-in is typically in the afternoon. Depending on flight arrival times, there may be a wait until your room is ready. Any client requiring their room to be ready upon arrival at the hotel, please inquire about adding a hotel night to guarantee room availability at check-in.
